How We Test

We think it matters to know how a review actually got made, not just what it says. This page walks through the process we follow before we publish anything about a tool on Toolphyra, so you can see exactly where our recommendations come from.

We start with research

Before we write a single word, we look into the tool itself. That means going through the official documentation, pricing pages, feature lists, product updates, and help center resources the company provides. This research is the backbone of every review we publish: we verify claims against primary sources, cross-check pricing and features across multiple official pages, and read widely across independent reviews and verified user feedback before we form any opinion about a tool.

We test hands-on when it’s practical

Where it’s practical, we go further and create a free account or use a free trial to actually use the product firsthand. There’s only so much you can learn from a pricing page, and using a tool directly can surface things research alone can’t: how it actually feels to set up, how easy the interface is to navigate, and whether it does what it says it does.

Hands-on testing isn’t possible for every tool in every review, whether because there’s no free trial available, the category doesn’t lend itself to a fair short-term trial, or covering enough tools in a single guide makes individually testing each one impractical. When that’s the case, we say so directly in the review rather than let you assume we tried something we didn’t. We would rather tell you a recommendation is based on extensive research than imply hands-on experience we don’t have, and as we do run our own trials of a tool, we add those firsthand notes to the review as a clearly labeled update.

We compare it against the competition

We do not review tools in isolation. Part of our process is looking at how a tool stacks up against the other leading options in the same category, so you get a sense of where it stands and who it might be a better or worse fit for.

We look at real user feedback

Beyond what a company says about its own product, we look at verified feedback from real users to understand the common strengths and weaknesses people run into. This helps balance out the polished picture a company’s marketing usually paints.

Where you see a numeric score or rating in a review, it reflects our own editorial judgment weighed across these criteria, not an aggregated or independently verified customer rating.

We take extra care with higher-stakes categories

Some of what we cover, like healthcare software or security and privacy tools, carries more real-world consequence if we get it wrong. For these categories we apply extra scrutiny: verifying compliance claims (such as HIPAA or BAA availability) directly rather than repeating marketing language, citing independent audit history where it exists, and flagging clearly anywhere a vendor’s claim couldn’t be independently confirmed.

We keep reviews up to date

Software changes constantly. Pricing shifts, features get added or removed, and company policies evolve. We recheck pricing and feature claims on at least a quarterly cycle, and immediately whenever we notice a vendor has announced a notable change, so you’re not reading outdated information.

Affiliate partnerships do not influence our ratings

Some of the tools we review include affiliate links, meaning we may earn a commission if you sign up through them. This never affects how we rate or recommend a tool. Whenever we earn a commission, we disclose it clearly. You can read more on our Affiliate Disclosure page.

What we will never do

We will never fabricate testing results, screenshots, or performance claims
We will never claim to have personally tested a feature we haven’t
We will never let an affiliate commission change our honest opinion of a tool
